The intern supports the FAS team in daily accounting and administrative work. This includes transaction recording, reconciliations, and month-end and year-end closing.

The intern also helps the Service Delivery Manager (SDM) monitor team works, check that tasks are completed, and manage the group mailbox. The role gives the intern practical experience in how a centralized accounting function works in an international humanitarian organization.

The scope of the intern is limited to the activities described in this job description and shall not be considered as a replacement for an existing role. 

Main responsibilities

Under the guidance and supervision of the Service Delivery Manager, Accounting Manager and Accountant, the intern will:

Transaction Recording

  • Record accounting entries in JDE under the supervision of an assigned accountant.
  • Check that supporting documents are complete, correctly coded, and approved before recording.
  • Flag missing, incomplete, or unclear documents to the assigned accountant.
  • Help clear backlogs and pending items during peak periods.

Reconciliations

  • Help prepare bank reconciliations and balance sheet account reconciliations.
  • Match transactions, identify unreconciled items, and list them for follow-up.
  • Help prepare supporting schedules for LARC and balance sheet confirmation.
  • Keep reconciliation files organized and complete for review and audit.

Month-End and Year-End Closing

  • Support the team in completing closing checklists within deadlines.
  • Help prepare closing schedules, accrual listings, and supporting files.
  • During year-end closing, help collect and organize documents, track open items, and prepare audit support files.
  • Update the closing status tracker for each assigned delegation.

Support to the Service Delivery Manager

  • Help monitor team works and task completion using the team tracker.
  • Prepare regular status summaries (completed, pending, overdue tasks) for the SDM.
  • Help collect data for SLA and KPI reporting.
  • Take notes during team meetings and track agreed action points.

Group Mailbox Management

  • Check the FAS group mailbox daily.
  • Sort and forward incoming emails to the responsible accountant or Accounting Manager.
  • Log requests and queries in the tracker and follow up on items without a reply.
  • Escalate urgent or unclear requests to the SDM.

Control and Completeness Check

  • Check that all assigned tasks (recording, reconciliations, closing steps) are done within the agreed timeline.
  • Check that files are saved in the correct folders using the agreed naming conventions.
  • Check that reconciliations and closing files are signed off by preparer and reviewer.
  • Report gaps, delays, or exceptions to the SDM.

Confidentiality and Compliance

  • Handle all financial and personal data confidentially, following ICRC rules.
  • Follow ICRC internal control policies, the Code of Conduct, and data protection rules.
  • Work only within the system access and approval limits given for the internship. 

Selection requirements

  • Motivated, curious and eager to learn
  • Good attention to detail
  • Good communication and interpersonal skills
  • Ability to work collaboratively in a team
  • Basic knowledge of Microsoft Office, particularly Excel
  • Interest in accounting, finance
  • Preferably currently pursuing, or a recent graduate of a Bachelor’s degree in Accounting, Finance, Business Administration, Management Accounting, or another related business/finance field.
