Accountabilities and responsibilities

  • Ensures full implementation of and compliance with the iDevelop Programme’s rules and guidelines.
  • Reviews, prioritizes, and validates staff members’ requests for iDevelop-related activities within the defined timeframe.
  • Assesses the relevance of specific iDevelop activities requested by staff members.
  • Verifies the credibility of training institutions and universities.
  • Ensures that iDevelop activities comply with budget allocations.
  • Tracks iDevelop days allocated to specific activities.
  • Ensures proper follow-up (e.g., modifications, cancellations) on approved requests.
  • Maintains and updates the iDevelop tracker and/or database.
  • Provides timely feedback to staff members.
  • Escalates complex or special cases to leadership.
  • Generates various reports and statistics on a regular basis and/or as required.
  • Participates in the periodic review and evaluation of the Individual Development Programme framework and suggests improvements to policies and procedures as needed.
  • Participates in weekly, monthly, and quarterly team meetings—remote or on-site—and in other work sessions (as required) with the iDevelop BPO in Geneva for planning, review, and development of programme policies and guidelines.
  • Validates invoices and expense reports related to iDevelop activities.
  • Conducts regular checks and controls on the iDevelop financial follow-up report.
  • Coordinates with various finance units regarding iDevelop-related expenses, including but not limited to overspending, inactive AoEs without expenditures, follow-up and recording of refunds, and correction of erroneous entries. 

Selection requirements

  • 3–5 years of professional experience in HR Shared Services
  • Proven experience in HR administration, ideally in the administration of a learning and development program
  • Knowledge of and experience in HR shared services, including workflows, processes, and key performance indicators
  • Ability to work accurately and consistently with data, trackers, and reporting tools (e.g., Excel or databases)
  • Good understanding of financial processes, including budget monitoring, invoice validation, and expense tracking
  • Good command of English; French language skills are an asset
  • Computer proficiency, including working knowledge of HR information systems (e.g., SuccessFactors)
  • Strong analytical and communication skills; ability to work collaboratively with cross-cultural teams as well as independently.
  • The candidate must be open to work onsite in Makati City.
