PURPOSE
The intern will support the Finance and Administration (FAD) Department of the ICRC Regional Delegation for East Asia, primarily assisting the Welcome and Finance units in delivering services to the delegation.
SCOPE
I. Travel & Welcome Support
- Database & Info Management: Update Welcome databases and files; search and obtain travel-related logistical information.
- Documentation & Billing: Input data and edit documents for monthly bills and travel services.
- Administrative Assistance: Provide general administrative support for the daily operations of the Welcome team.
II. Finance Support
- Expense & Reimbursement: Guide colleagues through mission reimbursement processes, including per diem calculations and policy clarifications.
- Petty Cash Operations: Handle petty cash disbursements, receipts, and perform physical cash counts in strict accordance with financial regulations.
- Tax & VAT Administration: Record invoices in the tax registry and input relevant data into the MFA tax portal for VAT refund applications.
- System Data Maintenance: Set up and maintain supply chain vendor profiles in the accounting software in a timely manner; update daily exchange rates and authorized signature lists.
- Filing & Archiving: Organize, bind, and archive financial supporting vouchers, and manage the archiving of historical accounting files.
III. Other Administration Support
REQUIREMENTS
- Undergraduate or postgraduate students.
- Fluent in English speaking and writing.
- Proficiency in Microsoft Office.
- Strong interpersonal skills and proactive communication.
WORKING HOURS
- 4 days per week preferred
